Edify Collective Ltd, 4 Durham Terrace, London W2 5PB, provides an AI-powered micro-learning platform. We are the controller for the personal data described below unless we state that we act as a processor for a business customer.

This policy covers our website, platform and apps, customer support, communications, and research and improvement activities related to our learning services.

1. Data We Collect

- Account data: name, work email, role, organisation
- Learning data: enrolments, modules viewed, answers, scores, feedback, messages, and time spent
- Content data: materials you or your organisation upload, generated learning artefacts, comments
- Device and usage data: IP address, device identifiers, diagnostic logs
- Cookies and similar technologies: essential and non-essential cookies

2. How We Collect Data

We collect data directly from you, from your employer/client if they sponsor your access, and automatically through usage logs and cookies.

3. Why We Use Your Data and Lawful Bases

We only use your personal data where a lawful basis applies under UK GDPR:
- Contract: To provide and administer your account, deliver modules, and support you. 
- Legitimate interests: To personalise learning, monitor usage, and secure our systems. You can object at any time. 
- Legal obligation: To meet financial, audit, and regulatory duties. 
- Consent: For marketing, non-essential cookies, and optional features. You can withdraw consent at any time. 
- Recognised legitimate interests (DUAA 2025): We may rely on these where applicable and will explain safeguards. 

4. Children

Our services are for professionals, not children. If children access the service, we apply the ICO’s Age Appropriate Design Code standards, for example higher privacy settings and restrictions.

5. AI and Profiling

We use AI to recommend learning content. Profiling does not have legal or similarly significant effects.
We do not use your data to train models without explicit opt-in. You can object to profiling based on legitimate interests at any time.

6. Who We Share Data With

- Service providers under processor terms 
- Your organisation when sponsoring your access 
- Professional advisers or authorities as required by law 

7. International Transfers:

Where data is transferred outside the UK, we rely on either: 
- a UK adequacy regulation (e.g. UK-US Data Bridge for certified US organisations), or 
- appropriate safeguards, such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU SCCs, plus a Transfer Risk Assessment where required.  A list of our sub-processors and their locations is available on request.

8. Data Retention

- Account: subscription term + 6 years 
- Learning: 24 months post-activity, then anonymised 
- Support: 24 months post-resolution 
- Logs: 90 days 
- Cookies: per stated lifespan

10. Your Rights:

You have rights under UK data protection law: 
- Access: to receive a copy of your data 
- Correction: to fix inaccuracies 
- Deletion: to erase your data in certain cases 
- Restriction: to limit our use of your data 
- Portability: to move your data elsewhere 
- Objection: to stop processing based on legitimate interests or marketing 
- Withdraw consent: at any time, where consent is the basis

11. Security

We apply encryption, access controls, secure development practices, and supplier due diligence to protect your data.
